Business and project planning
Weekly Project Coordination Kit
Turn scattered updates into a clear weekly plan.

What’s inside
Weekly priorities
Choose outcomes you can verify. Assign one accountable owner and a due date to each next action.
- Week beginning
- Project / owner
- Three outcomes that matter
- Available capacity and constraints
- What will wait until next week
Action register
Keep one action per entry. Mark done only when its completion evidence is recorded.
- Action ID / project
- Next action and completion evidence
- Owner / due date
- Status: planned, in progress, blocked or done
- Blocker / next check-in
Meeting record
Distinguish decisions from proposals. Send the record through your normal team process.
- Meeting date / project / attendees
- Purpose and context
- Decisions and decision owner
- Actions with owners and dates
- Open questions / follow-up meeting
Handoff checklist
Confirm access to referenced files and record acknowledgement; a sent message alone is not acceptance.
- Work item / handing off to
- Current status and last verified date
- Files and version references
- Remaining work / risks
- Acceptance evidence / acknowledgement
A worked example
Fictional example: Alder Studio, week of October 5, 2026. Outcome: deliver the approved homepage outline by Friday. Maya owns action A-01: confirm three page sections by Tuesday. Status: blocked pending client feedback. Check again Wednesday at 10 a.m. Completion evidence: dated approval message linked in the action record. Do not mark the design complete merely because the outline was sent.
